Welcome to the MrExcel podcast. In this episode, we will be discussing how to fill a column with sequential numbers in Excel. This is a common task that many Excel users encounter, and there are multiple ways to achieve this. So, let's dive in and learn how to do it efficiently.
The question for this episode came in via Twitter: "I need help in Excel, I need a column of extension numbers from 7900-7999. How do I do this automatically?" I tweeted back with the answer, but it's one of those things that is hard to explain in 140 characters. So, I decided to create a video to demonstrate the process.
To start, enter the first number in the sequence (7900) in a cell and press Enter. Then, select that cell and go to the Home tab. Click on the "Fill" icon and choose "Series..." from the drop-down menu. In the Series window, change the option from "Rows" to "Columns" and enter the last number in the sequence (7999) as the "Stop value". Click OK and Excel will automatically fill the column with sequential numbers.
Another method to achieve this is by using a formula. In a new column, enter the first number in the sequence (7900) and in the cell below it, enter the formula "=B2+1" (previous cell +1). Then, double-click on the fill handle to fill the formula down to the desired number. However, this method may cause issues if a row is deleted in the future. To avoid this, you can copy and paste the values instead of the formula.
Another handy trick to fill a column with sequential numbers is by using the fill handle while holding down the Ctrl key. This will automatically extend the sequence to the desired number. You can also see a preview of the numbers before filling by hovering over the fill handle.
There are many other ways to fill a column with sequential numbers in Excel, but the method I suggested in the tweet was using the "Fill" and "Series" options.
