Data import is an essential function in Salesforce, allowing users to bring in external data to their Salesforce org. There are two primary methods for importing data, the Data Import Wizard and Data Loader. The Data Import Wizard is used when loading fewer than 50,000 records, the objects are supported by the wizard, and there is no need to automate the import process. On the other hand, Data Loader is used when loading 50,000 to 5 million records, loading into an object that is not supported by the wizard, or scheduling regular data loads.
Before importing data, it is essential to clean up the data and prepare it for accuracy and consistency, remove duplicates, delete unnecessary information, correct spelling, and enforce naming conventions. Compare data fields with Salesforce fields to ensure proper mapping into the appropriate Salesforce fields. One should also make any necessary configuration changes in Salesforce to handle the imported data.
To use the Data Import Wizard, start the wizard, choose the data that needs to be imported, specify whether to add new records, update existing records, or add and update records simultaneously, specify matching and other criteria, and specify the data file. After specifying the file, choose a character encoding method, and map data fields to Salesforce data fields. Salesforce tries to map as many data fields as possible to standard Salesforce data fields automatically. If Salesforce cannot map fields automatically, one can do it manually. Finally, review the import settings and start the import process.
